Online Payments: Setup, Failures, and Disputes

The full lifecycle of an online invoice payment, connecting your payment account, how customers pay by card or bank transfer, what happens when a payment fails or is disputed, and how refunds work.

Online payments let your customers pay an invoice by card or bank transfer directly from the link in the invoice email, no account or login required. This guide walks the whole lifecycle, from connecting your payment account to handling a failed or disputed payment.

1. Connect your payment account (one time)

Go to Settings → Payments and choose Set up payments. You'll complete a short, secure form (business details, the person responsible, and a bank account for payouts) right inside JobsiteOn. You never leave the app and you never need a separate payment-processor login.

Once your details are verified, the status shows Active and every invoice can include a Pay Now link. If more information is needed, the panel shows exactly what's outstanding so you can finish quickly.

Payouts go straight to the bank account you connected. Your customers see your business name on their statement and receipt.

2. How a customer pays

When you send an invoice with the payment link on, the customer opens it and chooses Pay Now, then pays on the invoice page itself:

You'll get a notification the moment a payment starts and again when it's complete. Your customer automatically receives a branded receipt from you.

3. When a payment fails

If a card is declined or a bank transfer can't be completed, no charge is made and the invoice stays open (and re-payable). We:

Common reasons and what they mean:

Reason What it means
Insufficient funds The account didn't have enough money. The customer can retry later or use another method.
Expired card / incorrect security code A card detail was wrong. Ask the customer to re-enter it.
Card declined The bank declined it. The customer should contact their bank or try another card.
Bank debit not authorized The bank transfer was blocked. The customer can retry or pay by card.

The customer can simply reopen the invoice link and try again.

4. Refunds

You can refund a payment in full or in part. The refund is returned to the customer's original payment method, and the invoice balance updates automatically. Bank-transfer refunds and low-balance situations may take a little longer to settle; the payment shows the refund status until it completes.

5. Disputes and chargebacks

Occasionally a customer disputes a card payment with their bank (a chargeback). When that happens we flag the invoice and notify you so you can respond with proof of the work, job details, photos, and delivery records. If you win, the funds stay with you; if not, they're returned to the customer.

Bank-transfer (ACH) disputes work differently: they can't be contested through the banking network, so the best path is to resolve them directly with your customer. We'll always tell you which type a dispute is.

6. Fraud protection

Every card payment is screened automatically for fraud. If a payment is flagged as likely fraudulent, we alert you before it becomes a chargeback so you can hold delivery or refund it proactively. High-risk payments may also require the customer to complete an extra verification step. This happens automatically and needs nothing from you.

Frequently asked

Do my customers need an account to pay? No. They pay straight from the invoice link.

What fees do I pay? Standard processing fees apply per transaction; you keep the rest, paid out to your bank.

Can I turn the pay link off for a specific invoice? Yes, toggle it off in the send dialog, or change the default in Settings → Invoices → Payments.

Where do I see disputes and payouts? Your account team can see the full dispute and payout history; reach out if you need details on a specific transaction.
