What this guide covers

This guide explains how to manage phone numbers and email addresses on contact records in JobsiteOn. You will learn how to add multiple contact methods, set primary values, and understand how each is used throughout the system.

Adding email addresses

  1. Open the contact detail page at /contacts/[slug].
  2. Click Edit Contact.
  3. In the Email section, enter the email address.
  4. To add additional emails, click Add Email and enter the next address.
  5. Click Save.

The first email listed is treated as the primary email, used by default for quotes, invoices, and notifications.

Adding phone numbers

  1. On the contact edit form, find the Phone section.
  2. Enter the phone number.
  3. To add additional numbers, click Add Phone and enter the next number.
  4. Click Save.

The first phone number listed is treated as the primary phone, used for SMS notifications and dispatch calls.

Setting the primary contact method

The primary email and phone are used for:

  • Sending quotes and invoices.
  • SMS notifications.
  • Payment reminders.
  • Customer portal communications.

To change which email or phone is primary, reorder them by dragging the preferred one to the first position.

Tip: Verify the primary email is one the customer actively monitors. Quotes and invoices sent to an unmonitored address will go unread.

How email and phone are used

Feature Uses email Uses phone
Send quote Primary email SMS notification (optional)
Send invoice Primary email SMS notification (optional)
Payment reminder Primary email SMS notification (optional)
Customer portal Link sent to email --
Dispatch calls -- Primary phone

Removing a contact method

  1. Open the contact in edit mode.
  2. Click the Remove icon next to the email or phone you want to delete.
  3. Click Save.

Note: You should always keep at least one email or phone number on a contact. Contacts without any contact method cannot receive quotes, invoices, or notifications.

Best practices

  • Verify email addresses when creating contacts to avoid bounced communications.
  • Add both email and phone for the best customer experience.
  • Use the notes field to record preferred contact times or communication preferences.
  • Update contact methods promptly when a customer reports a change.
