How to understand each KPI card on the dashboard, use date range filters, and take quick actions from the main operating view.

What this guide covers

This guide explains how to read and use the main dashboard in JobsiteOn. You will learn what each KPI card means, how the date range filter changes the data, and what quick actions are available directly from the dashboard. The dashboard is your daily operating view -- a single screen that tells you the health of your business.

Before you begin

  • Any authenticated user can view the dashboard. The level of detail varies by role (Technicians see a limited view focused on their assigned work).
  • The dashboard displays data from your active workspace. If you manage multiple workspaces, confirm you are viewing the correct one from the workspace switcher.

Understanding the dashboard layout

When you open /dashboard, the page is organized into three main sections:

  1. Header -- greeting, current date/time, and the date range filter.
  2. Financial Snapshot -- three KPI cards covering revenue, pending quotes, and outstanding invoices.
  3. Active Work -- job pipeline and active jobs table.
  4. Action Center -- quick-action cards that link to tasks needing attention.

The greeting header

The top of the dashboard shows a time-based greeting ("Good morning," "Good afternoon," or "Good evening") followed by your first name. Below the greeting, a subtitle shows:

  • The current day and date in your browser's local timezone.
  • The current local time.
  • A count of active jobs.
  • A count of pending quotes.

This information updates in real time as you keep the page open.

Step 1: Read the financial snapshot cards

The Financial Snapshot section shows three cards, each with a headline number and a six-month sparkline trend.

Revenue card

  • Headline number -- the total invoiced revenue for the selected date range.
  • Sparkline -- shows how revenue has trended over the past six months.
  • Click action -- opens /invoices filtered to the current range.

Use this card to see whether your billing is on track for the period. A declining sparkline may indicate fewer invoices being sent or a seasonal slowdown.

Pending Quotes card

  • Headline number -- the count of quotes sent but not yet accepted or declined.
  • Subtitle -- reads "X quote(s) out, Y new this week" so you know how many are recently created.
  • Sparkline -- shows pending quote volume over the past six months.
  • Click action -- opens /quotes filtered to pending status.

A rising count of pending quotes means your sales pipeline is active but may need follow-up. Check quotes that have been pending for more than a week.

Outstanding Invoices card

  • Headline number -- the total dollar amount of unpaid invoices.
  • Subtitle -- breaks down the count into overdue and awaiting amounts so you can spot billing risk at a glance.
  • Sparkline -- shows outstanding invoice volume over the past six months.
  • Click action -- opens /invoices filtered to unpaid status.

A high outstanding amount combined with overdue entries means your collection process needs attention. Follow up on overdue invoices immediately.

Selected range indicator

Below the three cards, a Selected range label shows the exact date window driving the financial numbers. This confirms you are looking at the correct period.

Step 2: Use the date range filter

The date range filter is in the top-right corner of the dashboard header. All financial snapshot cards, pipeline counts, and active job data respect this filter.

Available presets

Click the date range button to see preset options:

  • Today
  • This Week (Monday through today)
  • This Month
  • Last Month
  • This Quarter
  • This Year
  • Last 30 Days
  • Last 90 Days

Custom range

  1. Click the date range button.
  2. Select Custom.
  3. Pick a start and end date from the calendar.
  4. Click Apply.

What happens when you change the range

When you select a new date range:

  • The financial snapshot cards recalculate for the new period.
  • The job pipeline stage counts and dollar totals update.
  • The active jobs table filters to the selected window.
  • The page content stays mounted -- no full-page loading skeleton appears.
  • Metric values animate smoothly into the new numbers.

Tip: The URL updates to include your date selection. Bookmark the URL to return to the same dashboard view later.

Step 3: Read the job pipeline

The Active Work section begins with the Job Pipeline, which shows five stages from lead to closeout:

Stage What it represents
Lead / RFP Initial inquiries and requests for proposals
Proposal Sent Quotes sent and awaiting customer response
Approved Quotes approved and ready to schedule
In Progress Jobs actively being worked
Closeout / Lien Jobs completed and awaiting final billing/lien

Each stage shows:

  • Count -- the number of items in that stage for the selected range.
  • Dollar total -- the total value of items in the stage, centered under the bar.
  • Health card -- shows average days items have been sitting in that stage plus a note when unpriced work is understating the total.

Pipeline bar colors

  • Green -- healthy. Items are flowing through at a normal pace.
  • Amber -- attention needed. Items are sitting longer than expected.
  • Red -- blocked or overdue. Items need immediate intervention.

Conversion row

Below the pipeline bars, a conversion row shows how items are flowing from one stage to the next within the selected date range. This helps you identify bottlenecks -- for example, a low conversion rate from "Proposal Sent" to "Approved" may mean your quotes need follow-up.

Step 4: Review active jobs

Below the pipeline, the Active Jobs table shows individual jobs with:

  • Job / Address -- the job title or property address.
  • Status -- a status pill showing the current state.
  • Owner -- the team member responsible.
  • Value -- the job's estimated or invoiced value.
  • When -- the scheduled or completion date.

Status options

The active jobs status column supports these values:

  • Pending
  • Scheduled
  • In Progress
  • Need to Send Report
  • Completed
  • On Hold
  • Cancelled

Click any column header to sort the table. Click View All to open /jobs?status=active with the full filtered list.

Click any job row to navigate to the job detail page.

Step 5: Use the Action Center

The Action Center at the bottom of the dashboard provides five quick-action cards:

Card What it links to
Send Quotes Quotes ready to send to customers
Schedule Jobs Approved jobs that need to be scheduled
Get Paid Outstanding invoices needing follow-up
Capture Leads New requests waiting for review
Settle Liens Closeout items requiring final action

Each card shows a count and links to the relevant module. Click any card or its footer CTA to jump directly to the correct filtered view.

Best practices

  • Start your day on the dashboard. A 30-second scan of the KPI cards and action center sets your priorities for the day.
  • Use the date range to compare periods. Switch between "This Month" and "Last Month" to see if revenue is trending up or down.
  • Follow up on amber and red pipeline items. These items have been sitting too long and need manual intervention.
  • Check the Action Center daily. Each card represents work that is waiting on you or your team.
  • Do not ignore the outstanding invoices subtitle. The overdue vs. awaiting breakdown is your earliest warning of cash flow risk.

Troubleshooting

The dashboard shows zero for all metrics

  1. Check the date range. A very narrow range (e.g., Today) may have no activity yet.
  2. Confirm you are in the correct workspace.
  3. If your workspace is brand new, create a few test jobs and invoices to see data populate.

The greeting time looks wrong

The greeting and time display use your browser's local timezone, not the server clock. Check your device's date and time settings if the greeting seems off.

Financial card numbers do not match my expectations

  1. Verify the selected date range matches the period you are checking.
  2. Confirm that all invoices for the period have been created. Missing invoices cause revenue to be understated.
  3. Check if any invoices are still in draft status. Drafts may not count toward the revenue total depending on workspace settings.

Clicking a KPI card opens an empty page

The target page filters data to match the dashboard's date range. If the filtered view is empty, widen the date range or check the filter settings on the destination page.

The pipeline shows "unpriced work" warning

This means some jobs in that stage have no estimated value. Open the jobs and add line items or estimated amounts to improve the accuracy of pipeline dollar totals.

FAQ

Can I customize which KPI cards appear on the dashboard?

Dashboard card configuration is not customizable at this time. The three financial cards and five action cards are standard for all workspaces.

Is the dashboard available on mobile?

Yes. The dashboard is accessible from a mobile browser. Cards stack vertically on smaller screens.

Does the dashboard update in real time?

The dashboard loads data when the page opens and when you change the date range. It does not auto-refresh. Refresh the page to see the latest data.

Can Technicians see the full dashboard?

Technicians see a limited dashboard focused on their assigned jobs and schedule. They do not see financial snapshot cards or the full pipeline.

Can I export dashboard data?

Dashboard export is not available directly. For detailed data, use the reporting module which supports CSV export.
