Schedule Your First Event

Create your first calendar event in JobsiteOn by picking a date, assigning a team member, and linking it to a job or customer.

What this guide covers

This guide walks you through creating your first calendar event in JobsiteOn. You will learn how to open the schedule, pick a date and time, assign a team member, link the event to a job or customer, and confirm the details. By the end, your first scheduled event will appear on the calendar.

Before you begin

  • You need at least one team member in your workspace (yourself counts)
  • Having a job or contact to link the event to is helpful but not required
  • Configure your business hours first so the calendar displays availability correctly

Step 1: Open the schedule

Click Schedule in the sidebar. The calendar opens in the default view, which is typically the week view showing the current week.

Step 2: Choose your calendar view

The schedule supports three views. Pick the one that works best for your current task:

View Best for
Day Detailed hour-by-hour planning
Week Seeing the full week at a glance
Month Long-range planning and spotting gaps

Use the view toggle buttons at the top-right of the calendar to switch between them.

Step 3: Create a new event

There are two ways to create an event:

Click on a time slot

  1. Click on the desired day and time directly on the calendar
  2. The event creation form opens with the date and time pre-filled

Use the New Event button

  1. Click the New Event button at the top of the schedule page
  2. The event creation form opens with empty fields

Step 4: Fill in event details

The event form includes the following fields:

Title

Give the event a descriptive name (e.g., "Furnace inspection - 123 Oak St"). If you link a job, the title can auto-fill from the job name.

Date and time

Set the start date, start time, and end time. The duration calculates automatically.

  • Start -- When the event begins
  • End -- When the event ends
  • All Day -- Toggle this on for events without specific times

Assign a team member

Click the Assigned To field and select one or more team members. Each assigned person sees this event on their personal schedule.

If this event relates to an existing job, click the Job field and search for it. Linking an event to a job provides the technician with full job context when they view their schedule.

Alternatively, link the event to a contact. The customer's name and property address appear on the calendar event card.

Tip: Linking events to jobs is recommended over linking to contacts alone. Job-linked events inherit the property address, line items, and notes, giving the technician everything they need.

Step 5: Add event notes

Use the Notes field to include instructions, access codes, or reminders for the assigned team member. These notes are visible on the event detail view.

Step 6: Save the event

Click Save to create the event. It appears immediately on the calendar in the assigned time slot. The assigned team member can see it on their schedule.

Step 7: Confirm on the calendar

After saving, verify the event looks correct:

  1. Check that the event is on the right day and time
  2. Confirm the team member assignment by looking at the avatar on the event card
  3. Click the event to open its detail view and review all fields

Moving and editing events

You can drag and drop events on the calendar to reschedule them. Grab the event card and move it to a new time slot or day. You can also resize the event by dragging its bottom edge to change the duration.

To edit details, click the event and then click Edit in the detail popover.

Note: When you move a job-linked event, the job's scheduled date updates automatically to match.

Troubleshooting

The calendar shows all gray with no available time slots

Check your business hours configuration in Settings then Company then Business Hours. If no days are toggled on, the entire calendar appears as non-business hours.

My team member cannot see the event

Confirm the team member is assigned to the event. Also check that they are looking at the correct week on their calendar. The schedule defaults to the current week.
