What this guide covers

This guide walks you through connecting your business email to JobsiteOn. Once connected, incoming emails from customers appear in your JobsiteOn Inbox alongside other messages. You will learn how to set up email forwarding, verify your domain, and configure outbound email so replies send from your business address.

Before you begin

  • You need an Owner or Admin role to configure email settings
  • Have access to your email provider's settings (Gmail, Outlook, or your hosting provider)
  • Know your business email address (e.g., info@yourcompany.com)

Step 1: Open email settings

  1. Click Settings in the sidebar
  2. Select the Email tab
  3. You will see the Email Configuration section

Step 2: Choose your connection method

JobsiteOn supports two ways to connect your email:

Option A: Email forwarding

This is the simplest method. You set up a forwarding rule in your email provider so that copies of incoming messages are sent to your unique JobsiteOn forwarding address.

  1. Copy your unique forwarding address from the Email settings page (it looks like workspace-id@inbound.jobsiteon.com)
  2. Go to your email provider and create a forwarding rule
  3. Set the rule to forward incoming messages to your JobsiteOn address
  4. Return to JobsiteOn and click Verify Forwarding

Option B: Direct integration

For Gmail and Microsoft 365 users, JobsiteOn offers a direct OAuth connection.

  1. Click Connect Gmail or Connect Microsoft 365
  2. A popup opens asking you to authorize JobsiteOn
  3. Sign in to your email account and grant permission
  4. The connection establishes automatically

Tip: Direct integration is recommended over forwarding because it supports two-way sync. Emails you send from JobsiteOn also appear in your regular email sent folder.

Step 3: Verify your domain

Domain verification proves you own the email address and enables outbound sending from your business domain.

  1. In the Email settings, click Verify Domain
  2. JobsiteOn provides a DNS TXT record to add to your domain
  3. Log in to your domain registrar (GoDaddy, Namecheap, Cloudflare, etc.)
  4. Add the TXT record to your DNS settings
  5. Return to JobsiteOn and click Check Verification

Note: DNS changes can take up to 48 hours to propagate, but most complete within 15 minutes. If verification fails, wait an hour and try again.

Step 4: Configure outbound email settings

Once your domain is verified, configure how outbound emails appear to your customers.

  1. Set your From Name (e.g., "Apex Plumbing" or "Mike at Apex Plumbing")
  2. Set your Reply-To Address (usually your main business email)
  3. Optionally add an Email Signature that appends to every outbound message

Step 5: Send a test email

After configuration, send a test email to confirm everything works.

  1. Click Send Test Email
  2. Enter your personal email address
  3. Click Send
  4. Check your personal inbox for the test message
  5. Verify the From name, reply-to address, and signature look correct

Tip: Reply to the test email to confirm that replies route back to your JobsiteOn Inbox correctly.

Step 6: Train your team

Let your team know that customer emails now appear in the JobsiteOn Inbox. Encourage them to reply from within JobsiteOn so the full conversation history stays linked to the contact record.

Troubleshooting

Forwarded emails are not appearing

Check that the forwarding rule in your email provider is active and pointing to the correct JobsiteOn address. Send a test email to your business address and wait 2-3 minutes for it to appear.

Domain verification keeps failing

Double-check the TXT record value and host name in your DNS settings. Some registrars require you to enter the host without your domain suffix. If your domain is example.com, enter _jobsiteon as the host, not _jobsiteon.example.com.

Customers see a different sender name

Update the From Name in your outbound email settings. Changes apply to new emails only, not previously sent messages.
