Email Integration Overview

How JobsiteOn sends emails on your behalf, email deliverability settings, and how to configure custom email domains.

What this guide covers

This guide explains how JobsiteOn sends emails to your customers, including the default email setup, deliverability best practices, and how to configure a custom sending domain for better inbox placement.

Default email behavior

By default, JobsiteOn sends customer-facing emails (quotes, invoices, reminders) from noreply@mail.jobsiteon.com with your company name in the "From" display name. Replies go to the email address configured in your company settings.

Custom sending domain

Setting up a custom domain improves deliverability and makes emails appear from your own domain (e.g., invoices@yourbusiness.com).

Step 1: Open email settings

  1. Go to /settings > Workspace > Integrations.
  2. Click Email Settings.

Step 2: Add your domain

  1. Click Add Custom Domain.
  2. Enter your domain (e.g., yourbusiness.com).
  3. JobsiteOn generates DNS records you need to add.

Step 3: Add DNS records

Add the following records to your domain's DNS settings:

  • SPF -- authorizes JobsiteOn to send on your behalf.
  • DKIM -- signs emails to prevent spoofing.
  • DMARC -- sets your email authentication policy.

Step 4: Verify the domain

Click Verify Domain. JobsiteOn checks your DNS records. Verification can take up to 48 hours for DNS propagation.

Deliverability best practices

  • Use a custom domain. Emails from your own domain have higher inbox rates than shared domains.
  • Keep your contact list clean. Remove bounced email addresses to maintain sender reputation.
  • Do not send too frequently. Limit automated messages to avoid spam filters.

Tip: After setting up a custom domain, send a test email to yourself and check the email headers to verify SPF, DKIM, and DMARC are passing.

Troubleshooting

Emails going to spam

Verify your DNS records are correctly configured. Use an email testing tool to check SPF and DKIM alignment.

Customer says they never received the email

Check the email delivery log in /settings > Email Settings > Delivery Log. Look for bounces or blocks.

Note: JobsiteOn does not support connecting your own SMTP server. All emails are sent through our managed email infrastructure.
