Before you begin

How contact sync works

JobsiteOn contacts map to QuickBooks customers. The sync is bi-directional -- changes in either system propagate to the other.

Matching logic

During the initial sync and ongoing syncs, records are matched by email address. If a JobsiteOn contact and a QuickBooks customer share the same email, they are linked automatically.

  • No match found -- a new record is created in the other system.
  • Multiple matches -- the first match by creation date is used. A warning appears in the sync log.

Conflict resolution

If the same contact is edited in both systems between sync cycles, the most recent change wins. The sync log records which version was kept.

Triggering a manual sync

  1. Go to /settings > Integrations.
  2. Click Sync Now on the QuickBooks card.
  3. The sync processes all pending contact changes immediately.

Common sync issues

Duplicate customer in QuickBooks

QuickBooks requires unique display names. If two JobsiteOn contacts have the same name, one will error. Rename one contact to be unique.

Contact not syncing

Check the sync log for errors. Common causes include missing email addresses or a QuickBooks authentication that has expired.

Tip: Before connecting QuickBooks, clean up your contact records in both systems. Merge duplicates and standardize email addresses for the best matching results.
