What this guide covers

Inventory helps you track parts and materials before they are used on jobs. Use it to understand what is in stock, where it is stored, which items are reserved, and which thresholds need attention.

Set up inventory records

Start with the parts and materials your team uses repeatedly:

  1. Create or import parts in the pricebook or inventory area.
  2. Add cost, price, SKU, and unit details.
  3. Organize items by category.
  4. Assign stock to a location, vehicle, or storage area when available.
  5. Set reorder thresholds for critical items.

Keeping cost and unit data current helps quotes, invoices, and job-cost reviews stay accurate.

Review stock levels

Use inventory views to check:

If a part appears unavailable, check whether it is already reserved for another job before buying more.

Reserve parts for work

Reservations help prevent two jobs from assuming the same material is available.

When reserving inventory:

Adjust stock responsibly

Use adjustments for counts, damage, returns, or corrections. Add a note when the reason is not obvious so another admin can audit the change later.
