What this guide covers

Equipment records help you track vehicles, tools, machines, and other reusable items that move between people, jobs, and properties.

Create an equipment record

  1. Open Equipment or the related settings area.
  2. Add the equipment name, category, identifier, and notes.
  3. Add service or maintenance details when available.
  4. Attach an asset tag if your company uses tag scanning.
  5. Save the record.

Use consistent names so dispatchers and technicians can find equipment quickly.

Assign custody

Custody shows who or what currently has responsibility for the equipment. Depending on your setup, equipment can be assigned to:

Update custody when the item moves. That keeps job preparation, check-in, and asset history accurate.

Track service notes

Add notes when equipment needs repair, inspection, calibration, cleaning, or replacement. Include the date, condition, and next step.

Service notes are especially useful before dispatching expensive or safety-sensitive equipment.

Use equipment with jobs

Before a job starts, check whether the assigned crew has the required equipment. If not, update the assignment or route plan before the technician arrives.
