This guide explains how to generate and download invoice PDFs in JobsiteOn. You will learn how to access the PDF, what it includes, and when a downloaded PDF is useful beyond the standard email workflow.

When to download an invoice PDF

  • Printing a hard copy for your records or the customer.
  • Attaching to an email outside of JobsiteOn.
  • Uploading to your accounting software or cloud storage.
  • Providing to a third party such as an accountant or lender.

How to download the PDF

  1. Open the invoice detail page at /invoices/[slug].
  2. Click Download PDF in the action bar.
  3. The file downloads with the name format Invoice-[number].pdf.

What the PDF includes

The invoice PDF reflects your branding settings and contains:

  • Company logo and contact details.
  • Customer name and billing address.
  • Invoice number, date, and due date.
  • All line items with descriptions, quantities, and prices.
  • Subtotal, discounts, tax, and total.
  • Payment terms and notes.
  • Your business registration number (if enabled).

Tip: Preview the invoice on the detail page before downloading. The PDF matches the embedded preview exactly.

Including the PDF in email sends

When using the built-in send feature:

  1. Click Send on the invoice detail page.
  2. Check the Attach PDF option.
  3. The customer receives both the email content and the PDF file as an attachment.

Regenerating the PDF after edits

If you edit an invoice after downloading the PDF:

  1. Make your changes and save.
  2. Download the PDF again to get the updated version.
  3. The previous PDF file you downloaded is now outdated.

Note: The PDF is a snapshot at the time of download. Always download a fresh copy after making edits.

  • Download and archive PDFs for important invoices as a backup.
  • Use the PDF preview to catch errors before downloading or sending.
  • When printing, use high-quality settings for professional output.
  • Name your local files consistently for easy retrieval.
