This guide explains how to use invoice aging reports in JobsiteOn. You will learn how to view overdue invoices grouped by age, identify problem accounts, and take action to collect outstanding payments.

What is invoice aging

Invoice aging categorizes your unpaid invoices by how long they have been outstanding. It helps you understand how much money is owed and how overdue each balance is.

Standard aging buckets:

Bucket Meaning
Current Not yet past due
1-30 days Overdue by up to 30 days
31-60 days Overdue by 31 to 60 days
61-90 days Overdue by 61 to 90 days
90+ days Overdue by more than 90 days

Accessing the aging report

  1. Navigate to /invoices from the left sidebar.
  2. Click the Aging tab or filter for overdue invoices.
  3. The report shows unpaid invoices grouped by aging bucket with a total for each.

Reading the report

The aging report displays:

  • Number of invoices in each bucket.
  • Total amount outstanding in each bucket.
  • Grand total of all unpaid invoices.
  • Individual invoices listed within each bucket with contact name, invoice number, and amount.

Click any invoice in the report to open its detail page.

Identifying problem accounts

Look for these warning signs:

  • Repeat offenders — Contacts with multiple invoices in the 60+ day buckets.
  • Large balances — Single invoices in older buckets representing significant revenue.
  • Growing totals — Increasing amounts in the 90+ day bucket over time.

Tip: Focus your collection efforts on the oldest and largest balances first. Invoices become harder to collect the longer they remain unpaid.

Taking action on overdue invoices

For each overdue invoice, you can:

  1. Send a reminder — Resend the invoice with a follow-up message. See Set Up Payment Reminders.
  2. Call the customer — A direct conversation is often the most effective collection method.
  3. Offer a payment plan — For large balances, consider accepting partial payments over time.
  4. Apply late fees — If configured, late fees add motivation for prompt payment.

Scheduling regular reviews

Establish a routine for reviewing the aging report:

  • Weekly — Check for new entries in the 1-30 day bucket and send reminders.
  • Bi-weekly — Follow up on 31-60 day invoices with phone calls.
  • Monthly — Escalate 60+ day invoices and consider adjusting payment terms for chronic late payers.

Note: The aging report updates in real time as invoices move past their due dates and as payments are recorded. Check it frequently for the most current picture.

Best practices

  • Review the aging report at least weekly to catch overdue invoices early.
  • Send reminders at 7, 14, and 30 days past due for the best collection rates.
  • Use the report during team meetings to assign follow-up responsibility.
  • Track your aging trends over time to measure whether your collection efforts are improving.
