What this guide covers

This guide explains how to delete or archive a contact in JobsiteOn. You will learn the difference between the two options, when each is appropriate, and what happens to linked records.

Archive vs. delete

Action What happens Linked records Reversible
Archive Removes from active list, preserves all data Remain intact Yes
Delete Permanently removes the record Must be unlinked first No

When to archive

Archive a contact when:

  • The customer is no longer active but you want to keep their history.
  • You need to clean up the active list without losing data.
  • The contact has linked jobs, quotes, or invoices that need to be preserved.

When to delete

Delete a contact when:

  • The record was created by mistake.
  • The contact is a duplicate that has already been merged.
  • There are no linked records (jobs, quotes, invoices, or properties).

Note: Deletion is only available for contacts with no linked records. If the contact has any associated jobs, quotes, or invoices, you must archive instead.

How to archive a contact

  1. Open the contact detail page at /contacts/[slug].
  2. Click the overflow menu (...).
  3. Select Archive Contact.
  4. Confirm the action.

Restoring an archived contact

  1. Navigate to /contacts.
  2. Open the Status filter and select Archived.
  3. Find the contact in the archived list.
  4. Click to open the detail page.
  5. Click the overflow menu (...) and select Restore Contact.

How to delete a contact

  1. Open the contact detail page.
  2. Click the overflow menu (...).
  3. Select Delete Contact.
  4. Read the warning about permanent removal.
  5. Confirm the deletion.

Tip: If in doubt, archive instead of deleting. You can always delete an archived contact later, but you cannot recover a deleted one.

Best practices

  • Archive inactive customers rather than deleting to maintain your business history.
  • Delete only contacts that were created in error and have no linked records.
  • Review archived contacts annually and delete any that are no longer needed.
  • Before deleting, verify the contact has no linked records by checking all tabs on the detail page.
