View Contact Communication History

Review all emails, SMS messages, and notifications sent to or from a contact for complete communication traceability.

What this guide covers

This guide explains how to view the full communication history for a contact in JobsiteOn. You will learn where to find sent emails, SMS notifications, and other communications, and how to use this history for customer service and accountability.

Accessing communication history

  1. Open the contact detail page at /contacts/[slug].
  2. Click the Activity tab.
  3. The activity feed shows all communications alongside other events.

Communications are marked with an email or message icon so you can spot them quickly in the feed.

Types of communications tracked

Type When it appears
Quote sent A quote email was sent to the contact
Invoice sent An invoice email was sent to the contact
Job update A job status email was sent
Payment reminder An automated or manual payment reminder was delivered
SMS notification A text message was sent alongside an email

Each entry shows the communication type, subject or summary, delivery timestamp, and who initiated it.

Viewing email details

Click any email communication in the activity feed to expand it and see:

  • Recipient email address.
  • Subject line.
  • Whether a PDF was attached.
  • Delivery status (sent, delivered, bounced).
  • The associated record (which quote, invoice, or job triggered the email).

Tip: If a customer says they did not receive an email, check the communication history for delivery status. If it shows as sent, ask the customer to check their spam folder.

Filtering for communications only

To see only communications without other activity:

  1. On the Activity tab, use the filter option.
  2. Select Communications to hide non-communication events.
  3. The feed shows only emails, SMS messages, and notifications.

Cross-referencing with the Inbox

Communications sent through JobsiteOn also appear in your Inbox at /inbox:

  • Navigate to /inbox to see sent threads.
  • Each thread links to the associated record (quote, invoice, or job).
  • The Inbox provides a workspace-wide view, while the contact detail page shows communications for one customer.

Best practices

  • Review communication history before following up with a customer to avoid duplicate messages.
  • Use the history to resolve disputes about what was sent and when.
  • Check delivery status for any unresponsive customers to rule out email delivery issues.
  • Reference specific communications during customer calls for precise context.

Note: Communication history is read-only and cannot be edited or deleted. This ensures a complete, tamper-proof record of all customer interactions.
