Use Quick Actions on the Dashboard

Create jobs, quotes, invoices, and contacts instantly from the dashboard action center without navigating away.

What this guide covers

This guide explains how to use the quick action cards at the bottom of your dashboard. These cards give you one-click access to the most common tasks, each showing a count of items waiting for your attention.

The action center

The Action Center sits at the bottom of the dashboard and displays five cards. Each card represents a category of work that needs your attention.

Action center cards explained

Card What it shows Click action
Send Quotes Quotes in draft that are ready to send Opens Quotes filtered to draft status
Schedule Jobs Approved jobs not yet on the calendar Opens Jobs filtered to approved but unscheduled
Get Paid Outstanding invoices needing follow-up Opens Invoices filtered to unpaid
Capture Leads New requests that have not been reviewed Opens Requests filtered to new
Settle Liens Closeout items requiring final action Opens Jobs filtered to closeout stage

Tip: Check the Action Center at least twice a day -- once in the morning to plan your priorities and once in the afternoon to catch anything new. The counts update automatically as your team works.

Quick create buttons

In addition to the action center cards, the dashboard header includes quick create buttons for the most common record types:

  • New Job -- Opens the job creation form
  • New Quote -- Opens the quote creation form
  • New Invoice -- Opens the invoice creation form
  • New Contact -- Opens the contact creation form

Practical scenarios

Scenario Quick action
Customer calls asking for an estimate Click New Quote
A quote gets approved and needs scheduling Click Schedule Jobs card
End of day review: who has not paid? Click Get Paid card
New website inquiry came in Click Capture Leads card
Job completed, need to send the final invoice Click New Invoice

When action center counts are zero

If an action card shows zero, that category is fully handled. A dashboard with all zeros in the action center means your workflow is caught up -- nothing is waiting on you.

Note: Zero counts are a goal to aim for at the end of each week. Start Monday by clearing the action center counts down to zero, then maintain them throughout the week.
