This guide explains how to register a new asset — a piece of equipment or a vehicle — in JobsiteOn. Every equipment asset you register gets a scannable QR tag generated automatically, so you can check it in and out, assign it to a job, and see its full scan history. Vehicles join the same Assets list so your whole fleet lives in one place.
By the end you will know how to:
Note: Registering assets is available to owners, admins, and managers. Crew members can scan and check assets in, but cannot create new asset records.
In the web app, go to Assets (/assets). The Assets page lists every
equipment asset and vehicle in your company as one searchable table — just like
Companies or Contacts. At the top you'll see summary cards (Total Assets,
Equipment, Vehicles, On a Job) and three header actions: Scan a tag,
Jobsite check-in, and Register asset.
Each row shows the asset's name and number (equipment numbers start with EQ-, vehicle numbers with VEH-), its type, serial or plate details, the job or person it's assigned to, and a status you can change right from the list.
Click Register asset. The Register Asset form opens at /assets/new.
You can also register equipment while scanning: open Scan a tag and choose Register new asset when a tag isn't recognized. Parts (stock tracked by quantity) are registered from Parts & inventory, available under the More menu.
At the top of the form, pick the asset type:
Tip: Use clear, consistent names and categories. They become the labels your crew sees when scanning a tag or checking an asset in on site.
Click Register Asset. JobsiteOn creates the record, assigns its asset
number (for example EQ-10001 or VEH-10001), provisions the scannable tag
for equipment, and opens the asset's detail page.
The asset detail page works like a company or contact page: the header shows the asset number, type, and a status badge you can change, with usage stats (jobs, check-ins, service notes, tag status). Below it you'll find the asset's details, its job assignment history, and recent jobsite check-ins. The right sidebar keeps metadata, an activity feed, and internal service notes together.
