What this guide covers

This glossary defines every key term you will encounter while using JobsiteOn. Bookmark this page and refer back to it whenever you run into an unfamiliar term. Terms are organized alphabetically.

A

Activity Feed

The chronological stream of events on your dashboard. It shows job updates, invoice activity, quote changes, and team actions as they happen across your workspace.

ACH Bank Transfer

A payment method that moves funds directly between bank accounts. Lower processing fees than credit cards. Available when Stripe is connected.

Admin (role)

A team role with full access to all features, settings, and data. Admins can do everything except delete the workspace or manage billing.

C

Contact

A person or company record in JobsiteOn. Contacts represent your customers, vendors, or leads. Every job, quote, and invoice is linked to a contact.

Crew

A named group of team members who frequently work together. Crews can be assigned to jobs and schedule events as a unit instead of assigning individuals.

D

Dashboard

Your daily operating view. Displays KPI cards, the activity feed, and quick action buttons. The first screen you see when you log in.

Dispatch Board

A specialized schedule view that shows unassigned jobs alongside team availability. Dispatchers use it to drag jobs onto team members' timelines.

Draft (status)

A document state indicating the item has been created but not yet sent to a customer. Drafts can be edited freely without the customer knowing.

E

Event

A time-bound entry on the schedule calendar. Events can be linked to jobs, contacts, or properties. Each event has a date, time, and one or more assigned team members.

I

Invoice

A billing document sent to a customer requesting payment. Invoices include line items, tax, and a total amount due. Customers can pay invoices online.

Inbox

Your unified communication hub. All customer emails, messages, and internal notes appear in the inbox, threaded by conversation and linked to the relevant contact or job.

J

Job

A unit of work in JobsiteOn. Jobs have a customer, property, line items, team assignments, and a status that tracks progress from creation through completion. Jobs are the core of the platform.

Job Status

The current state of a job. Standard statuses include: Pending, Scheduled, In Progress, Completed, On Hold, and Cancelled. Status changes appear in the activity feed.

K

KPI Card

A dashboard widget that displays a single key performance indicator as a large number with a label. Examples: Open Jobs, Revenue, Outstanding Invoices.

L

Lead

A potential customer who has expressed interest but has not yet committed to work. Leads are stored as contacts with a "lead" type and can be converted to customers.

Line Item

A single entry on a job, quote, or invoice representing a service or material with a name, quantity, unit price, and total.

O

Outstanding (status)

An invoice status meaning the invoice has been sent but payment has not been received. Outstanding invoices appear on the dashboard KPI card.

Overdue (status)

An invoice or job that has passed its due date without being completed or paid. Overdue items are flagged with red indicators throughout the platform.

Owner (role)

The highest permission level in JobsiteOn. The workspace owner has full access to all features, billing, and can delete or transfer the workspace.

P

Pricebook

Your catalog of services and materials with preset pricing. When creating jobs or quotes, you pull items from the pricebook to maintain consistent pricing across your business.

Property

A physical location where work is performed. Properties store the street address, property type (residential or commercial), and service history. Each property is linked to a contact.

Push Notification

A browser or device notification that appears outside of JobsiteOn to alert you about events. Push notifications require browser permission.

Q

Quote

An estimate sent to a customer before work begins. Quotes contain line items with pricing and can be accepted or declined by the customer. Accepted quotes can be converted to jobs.

Quick Action

A shortcut button on the dashboard that opens a creation form for common tasks (New Job, New Quote, New Invoice, New Contact).

R

Request

An incoming service request from a customer. Requests are captured through your website, phone, or email and can be converted into jobs when you are ready to schedule the work.

Reporting

The analytics module that provides detailed insights into revenue, job completion rates, team performance, and other business metrics.

S

Schedule

The calendar module in JobsiteOn. Shows events, jobs, and team availability in day, week, or month views. Dispatchers use the schedule to plan and assign work.

Status

A label indicating the current state of a record. Jobs, quotes, and invoices each have their own set of status values that track the lifecycle of that item.

T

Team Member

A user who has been invited to your workspace. Team members have assigned roles that control what they can see and do.

Technician (role)

A team role for field workers. Technicians see their own assigned jobs and schedule events but do not have access to financial data or administrative settings.

W

Workspace

Your company's account in JobsiteOn. A workspace contains all your data: contacts, properties, jobs, invoices, team members, and settings. Each workspace is independent.
