Archive and Delete Conversations
Learn the difference between archiving and deleting inbox conversations, and how to use bulk operations to manage your inbox.
What this guide covers
This guide explains how to archive and delete conversations in the JobsiteOn inbox. You will learn the difference between the two actions, when to use each one, and how to perform bulk operations to keep your inbox clean and organized.
By the end you will know how to:
- Archive a single conversation
- Delete a single conversation
- Understand the difference between archive and delete
- Use bulk selection to archive or delete multiple conversations at once
- Restore an archived conversation
Archiving vs. deleting
Understanding the difference is important before you take action:
| Action | What happens | Reversible? |
|---|---|---|
| Archive | Conversation is removed from the main inbox view but preserved in the Archive folder. All data, messages, and attachments remain intact. | Yes -- you can restore at any time |
| Delete | Conversation is permanently removed. Messages and associated data are deleted and cannot be recovered. | No -- this is permanent |
Tip: When in doubt, archive instead of delete. Archived conversations take up no visual space in your inbox but remain available if you ever need to reference them.
Step 1 -- Archive a single conversation
Open the conversation you want to archive, or hover over it in the conversation list. You will see an Archive button (or an archive icon) in the conversation toolbar.
Click Archive. The conversation disappears from your main inbox view and moves to the Archive folder.

Step 2 -- Delete a single conversation
Open the conversation and click the More menu (three dots) in the conversation toolbar. Select Delete from the dropdown.
A confirmation dialog appears asking you to confirm the permanent deletion. Click Delete to proceed or Cancel to go back.
Note: Deletion is permanent and cannot be undone. Make sure the conversation contains no important information before deleting.
Step 3 -- Use bulk operations
When you need to clean up many conversations at once, bulk operations save significant time.
Select multiple conversations
In the conversation list, click the checkbox that appears on the left side of each conversation row. You can select individual conversations one by one, or use the Select All checkbox at the top of the list to select all visible conversations.
Apply a bulk action
With conversations selected, a bulk action bar appears at the top of the list. The bar shows how many conversations are selected and offers action buttons:
- Archive -- Moves all selected conversations to the Archive folder
- Delete -- Permanently deletes all selected conversations (with confirmation)
- Mark as Read -- Marks all selected conversations as read
- Assign -- Assigns all selected conversations to a team member

Step 4 -- Access the Archive folder
To view archived conversations, look for the Archive folder in the inbox sidebar. Click it to see all conversations that have been archived.
From the Archive folder, you can:
- Open and read any archived conversation
- Search within archived conversations
- Restore a conversation back to the main inbox
Step 5 -- Restore an archived conversation
Open the Archive folder, find the conversation you want to restore, and click the Restore or Unarchive button. The conversation returns to the main inbox view with its original status.
If a customer replies to an archived conversation, the conversation is automatically restored to the inbox and marked as Open.

Troubleshooting
I accidentally deleted a conversation
Unfortunately, deleted conversations cannot be recovered. To prevent accidental deletions, consider using archive instead of delete as your default cleanup action.
Archived conversations are not appearing in the Archive folder
Use the search bar within the Archive folder to find specific conversations. If you recently archived a conversation and it does not appear, refresh the page.
