This guide explains how to delete pricebook items and when archiving is the better choice.

Delete vs. archive

  • Delete -- permanently removes the item. Only available if the item has never been used on a quote or invoice.
  • Archive -- hides the item from the active catalog but preserves it on historical documents. Archived items can be restored.

Deleting an item

  1. Navigate to /pricebook.
  2. Click the item to open its detail page.
  3. Click the overflow menu (...) and select Delete.
  4. Confirm the deletion.

If the item has been used on any document, the delete option is disabled and you must archive instead.

Archiving an item

  1. Open the item detail page.
  2. Click the overflow menu (...) and select Archive.
  3. Confirm the action.

Archived items are hidden from pricebook search on quotes and invoices but remain visible on historical documents.

Tip: Always archive rather than delete unless the item was created by mistake. Archiving preserves the audit trail and keeps historical documents accurate.

Note: Restoring an archived item returns it to the active catalog immediately. Find it under the Archived filter on the pricebook page.
