Preview a Quote Before Sending

Review the proposal PDF and customer-facing view before sending to catch errors and ensure a professional presentation.

What this guide covers

This guide explains how to preview a quote before sending it to the customer. You will learn where to find the preview, what to check, and how to make corrections before the customer sees your proposal.

Accessing the preview

  1. Save your quote by clicking Save on the quote builder. You must save before a preview is generated.
  2. You are redirected to the quote detail page at /quotes/[slug].
  3. The PDF preview is embedded on the left side of the screen, showing exactly what the customer will see.

What to check in the preview

Review the following before sending:

Company branding

  • Your logo appears in the header.
  • The brand color is applied to accents and dividers.
  • Your company name and contact details are correct.

Customer details

  • The contact name and email are accurate.
  • The property address (if linked) is correct.

Line items

  • Each item name and description are spelled correctly.
  • Quantities match the agreed scope.
  • Unit prices are correct.
  • Optional items are clearly marked.

Totals

  • The subtotal is the correct sum of all line items.
  • Discounts are applied correctly.
  • Tax is calculated at the right rate.
  • The grand total is accurate.

Terms and notes

  • The expiration date is set.
  • Payment terms or special conditions are included.
  • Notes are free of typos.

Tip: Read the preview as if you were the customer seeing it for the first time. Does it clearly communicate the scope, pricing, and next steps?

Making corrections

If anything needs adjustment:

  1. Click Edit on the quote detail page.
  2. Make the necessary changes to line items, contact, or terms.
  3. Click Save.
  4. The PDF preview regenerates with your updates.
  5. Review the updated preview before proceeding to send.

Previewing on mobile

The PDF preview is responsive. To check how the proposal looks on a mobile device:

  1. Open the quote detail page on your phone or tablet.
  2. The PDF preview adapts to the smaller screen.
  3. Verify readability and layout on the mobile view.

Note: Most customers will view your proposal on a mobile device. A quick mobile check can catch layout issues that are not visible on desktop.

Best practices

  • Always preview before sending. A 30-second review catches errors that could cost you credibility.
  • Check the preview after every edit, not just the first time.
  • If your branding looks off, review your settings at /settings/branding before resending.
  • Ask a colleague to review important proposals for a second set of eyes.
