This guide explains how to export a quote as a PDF file in JobsiteOn. You will learn how to download the PDF, what it includes, and when PDF export is useful outside of the standard email workflow.

When to export a PDF

While most quotes are sent electronically via the built-in send feature, there are times when a PDF is useful:

  • Printing a hard copy for a face-to-face meeting.
  • Attaching the proposal to an email outside of JobsiteOn.
  • Archiving a copy in your local file system or cloud storage.
  • Sharing with a third party who does not have access to the client link.

How to export the PDF

  1. Open the quote detail page at /quotes/[slug].
  2. Click Download PDF in the action bar.
  3. The PDF file downloads to your device with the filename format Quote-[number].pdf.

What the PDF includes

The exported PDF matches the embedded preview and includes:

  • Your company logo and branding.
  • The contact name and address.
  • The property address (if linked).
  • All line items with descriptions, quantities, and prices.
  • Optional items in a separate section.
  • Subtotal, discounts, tax, and grand total.
  • Expiration date and terms.
  • Notes and conditions.

Tip: Preview the quote before downloading. The PDF matches the preview exactly, so catch any errors before exporting.

Sending the PDF as an email attachment

When you use the built-in send feature, you can choose to attach the PDF:

  1. Click Send on the quote detail page.
  2. Check the Attach PDF option.
  3. The email includes both the client link and the PDF file as an attachment.

This gives the customer two ways to access the proposal.

Note: The PDF is a snapshot at the time of export or send. If you edit the quote later, download a new PDF to get the updated version.

Best practices

  • Always preview before exporting to ensure accuracy.
  • Use descriptive file names when saving locally so you can find the PDF later.
  • Keep a local archive of important proposals for backup.
  • When printing, use high-quality settings for the best presentation.
