Filter Schedule by Team Member
Use team filters to view individual schedules, compare availability side-by-side, and save filter preferences.
What this guide covers
This guide explains how to filter the JobsiteOn schedule by team member. You will learn how to use the team filter controls, view individual schedules in isolation, compare team availability side by side, and save your filter preferences so you do not have to reapply them every time you visit the schedule. Filtering is essential when your team grows beyond a few members and the calendar becomes dense with overlapping events.
Before you begin
- You need an active JobsiteOn account with access to the Schedule module.
- Navigate to
/schedulefrom the main sidebar. - Confirm that team members have been added under the Team section at
/team. - Have at least two team members with scheduled events to see the filtering in action.
Understanding team filters
Team filters control which team members' events are visible on the calendar. By default, the schedule shows events for all team members and unassigned events. When you apply a filter, the calendar hides events that do not match the selected members, giving you a cleaner view.
Why use team filters
- Focus on one person's day -- When dispatching or reviewing a single member's workload.
- Compare two or three members -- When deciding who has availability for a new job.
- Hide irrelevant columns -- When the full team view is too crowded to read.
- Isolate unassigned events -- When you want to see only work that needs an owner.
Step 1: Locate the team filter controls
The team filter is in the schedule header, typically near the view switcher and date navigation controls. Look for a filter button or a team member selector that shows avatars or names.
Filter control appearance
The filter control may display as:
- A dropdown showing team member names with checkboxes.
- A row of avatar chips that you can toggle on and off.
- A filter icon that opens a filter panel.
The exact appearance depends on the number of team members and the current view. The behavior is the same regardless of how the control is presented.
Step 2: Filter to a single team member
To view only one team member's schedule:
- Open the team filter control.
- Deselect all team members (if a "Deselect All" option is available).
- Select the single member whose schedule you want to see.
- Close the filter or click Apply.
The calendar now shows only events assigned to that member. All other events are hidden. This gives you a clean, focused view of that person's day or week.
What you see after filtering
- Day view -- Only the selected member's events appear in the time grid.
- Week view -- Only the selected member's events appear across all seven days.
- Month view -- Day cells show only the selected member's event summaries.
- Dispatch board -- Only the selected member's column appears alongside the unassigned panel.
Tip: Single-member filtering is the fastest way to check someone's availability before assigning a new event. Switch to Day view with the member selected and scan for open time slots.
Step 3: Filter to multiple team members
To compare schedules across a subset of your team:
- Open the team filter control.
- Select two or more team members.
- Close the filter or click Apply.
The calendar now shows events for only the selected members. This is useful for:
- Comparing workloads between team members you are considering for a job.
- Viewing a specific crew or squad without the noise of the full team.
- Checking for scheduling conflicts when two members need to be at the same location.
Side-by-side comparison in Day view
In Day view with multiple members selected, each member gets a dedicated column. You can see their events stacked vertically by time, making it easy to compare who is free at what hour.
Comparison in Week view
In Week view with multiple members selected, events from all selected members appear in the same daily columns, color-coded by team member. Use the member colors to distinguish whose events are whose.
Step 4: Show unassigned events
The team filter typically includes an Unassigned option alongside the team member names. When selected:
- Unassigned events appear on the calendar at their scheduled time.
- On the dispatch board, the unassigned panel is visible.
When deselected:
- Unassigned events are hidden from the calendar.
- The dispatch board's unassigned panel may be collapsed or empty.
Note: Keeping the Unassigned filter enabled is recommended during dispatch sessions so you can see work that still needs an owner.
Step 5: Reset filters to show all
To return to the full team view:
- Open the team filter control.
- Click Select All or Show All (the wording may vary).
- Close the filter or click Apply.
All team members and unassigned events are now visible again. This is the default state when you first open the schedule.
Tip: If you are unsure which filters are active, look at the filter control. Active filters are typically indicated by a highlight, badge count, or visual change on the filter button.
Step 6: Save filter preferences
JobsiteOn remembers your filter selections within the current session. When you navigate away from the schedule and return, your last-used filters should still be applied.
Session persistence
Your filter selections persist as long as your browser session is active. Closing the tab or logging out resets filters to the default (all members visible).
Setting a default filter
If your workspace supports default filter configuration:
- Apply the filters you want as your default.
- Look for a Save as Default option in the filter panel.
- Click to save. Future visits to the schedule start with this filter applied.
If a save option is not available, filters reset to showing all members at the start of each new session.
Per-view filter behavior
Filters apply across all calendar views. If you filter to one team member in Day view and switch to Week view, the same filter remains active. Switch views freely without losing your filter selection.
Step 7: Use filters with the dispatch board
On the dispatch board, team filters control which team member columns are visible:
- Switch to the Dispatch view.
- Open the team filter control.
- Select only the members you are dispatching for.
- The board shows columns for selected members plus the unassigned panel.
This is especially useful when:
- You manage a subset of the team and another dispatcher handles the rest.
- You want to focus on a specific trade or skill group.
- The full board is too wide to view comfortably.
Step 8: Combine team filters with other filters
If available, team member filters can be combined with other filter types:
Event type filter
Show only certain event types (for example, emergency events) for the selected team members. This helps prioritize urgent dispatch.
Status filter
Show only events in a specific status (for example, scheduled but not yet started) for the selected members. This helps morning dispatch focus on work that has not begun.
Date range
Team filters work within whatever date range the calendar is showing. Navigate to the date you need and then apply team filters for the right combination.
Tip: Combine a single team member filter with the status filter set to "scheduled" to see exactly what work that person has lined up but has not started yet.
Step 9: Common filtering workflows
Here are practical scenarios where team filters make scheduling more efficient.
Morning dispatch review
- Switch to the Dispatch view.
- Filter to the team members you are responsible for dispatching.
- Keep the Unassigned option enabled.
- Drag unassigned events to the appropriate members.
- Review each filtered column to confirm balanced workloads.
Checking a single member's availability
- Switch to Day view.
- Filter to the specific team member.
- Scan the time grid for open slots.
- Create a new event in one of the open time slots.
- Reset the filter to show all members when done.
Comparing two candidates for a job
- Switch to Day or Week view.
- Filter to only the two team members you are comparing.
- Check both members' schedules side by side.
- Identify which member has better availability.
- Assign the event to the member with the clearest time window.
Troubleshooting
The calendar looks empty after applying a filter
You may have deselected all team members including Unassigned. Open the filter and confirm at least one option is selected. If you selected a member who has no events on the current date, the calendar appears empty. Navigate to a date when that member has events.
I cannot find the filter control
The filter is in the schedule header area. If the header is compact on a smaller screen, look for a funnel or filter icon that expands the filter panel when clicked.
Filters reset every time I visit the schedule
Filter persistence depends on session state. If your session expired or you cleared browser data, filters return to the default. Check if your workspace supports saving a default filter preference.
I filtered to a team member but still see other people's events
Confirm the filter was applied. Some views show events from all members in a shared grid, using colors to distinguish them. In this case, look at the event card colors and the legend to identify which events belong to the filtered member.
The dispatch board still shows all columns after filtering
Close the filter panel and confirm the changes took effect. If the board does not update, refresh the page with the filter still applied.
FAQ
Do filters affect what other users see?
No. Filters are local to your browser session. Other users see their own default or saved filters independently.
Can I filter by team or crew instead of individual members?
If your workspace uses teams or crews, the filter may include group-level options. Select a team name to filter all members within that team at once. Otherwise, select individual members.
Does filtering affect exports or prints?
When you export or print the schedule, the output typically reflects the current view including any active filters. This means you can print a filtered schedule showing only one member's appointments.
Can I share my filter configuration with another dispatcher?
Filter preferences are per-user and per-session. There is no built-in sharing mechanism. You can communicate your preferred filter setup to colleagues who can replicate it on their own account.
