Configure Capture project, upload, sharing, proposal, portal, and field policies with phase-aware controls.
Owners and admins can open Settings → Capture. Settings are stored per company environment and take effect without a deployment. The server publishes a phase-aware registry so a client cannot expose a later feature merely because its code is present.
P1 controls include who may create projects, automatic Job linkage, locked tag vocabulary, data-saver uploads, acknowledgement requirements, minimum photo thresholds, customer document language, default or forced share expiry, Proposal-to-Quote sync, external watermarks, referral footer, and shared-device signature PIN policy.
Set Customer document language to English or Spanish. This is the company default for new customer-facing Capture reports, proposals, signing pages, work orders, completion documents, share pages, portal invitations, and their system-generated email or SMS copy. It does not change the language your staff see while working in Capture.
Report, proposal, and work-order builders show the language before creation, so the sender can override the company default for that one customer. The chosen language is saved with the document. A report-derived proposal and a signed-proposal-derived work order keep the source language, and an issued or signed document cannot be switched underneath its recipient. Create a copy or amendment when a different language is needed.
Turn on Crew signature PINs when several crew members sign checklist steps from the same field device. Then open Settings → Capture → People with access. An owner or admin can issue a private six-digit PIN to an active team member, rotate it, or revoke it immediately.
The PIN is shown only once when issued or rotated. Give it directly to that person; JobsiteOn stores a one-way hash and cannot show the PIN later. Five incorrect attempts lock the credential for 15 minutes. Rotate a locked PIN when the crew member needs immediate access.
With PIN mode on, the signer chooses their identity and enters their PIN. The signature record attributes that crew member and also retains the signed-in account supervising the shared device. With PIN mode off, the signer types their name/signature and the signed-in account remains the supervising countersigner.
The Proposal-to-Quote setting is on by default so signed revenue remains visible in the Quote pipeline. Documentation-gated invoicing is off until your company deliberately enables the later field-service workflow.
Share expiry can have a default without being forced. When forced, creators cannot remove the company limit.
Review the sticky save summary, save once, and refresh before testing a public link or field device. Sandbox and Live are separate. Test changes in Sandbox first when they affect sharing, signing, or crew workflows.
