What this guide covers
How to connect an Outlook mailbox (Microsoft 365 for work, or Outlook.com,
Hotmail and Live for personal accounts) and what stays in sync once it is
connected.
What you get
- Your Outlook mail in the JobsiteOn inbox. Mail from your Outlook Inbox
and Sent Items shows up in JobsiteOn, grouped by conversation.
- Changes go both ways. Mark a message read or unread, archive it, delete
it or flag it in JobsiteOn and Outlook shows the same thing a few seconds
later. Do it in Outlook and JobsiteOn usually catches up within a minute, and
always within 15 minutes.
- Send as yourself. Replies, new messages, quotes, invoices and payment
reminders can go out from your own Outlook address and land in your Outlook
Sent Items. See Send from your Outlook address.
- Jobs and customers in Outlook. An owner or admin can also put scheduled
jobs on a "JobsiteOn Jobs" calendar and keep customers in a "JobsiteOn"
contact folder.
Before you begin
- Connecting a mailbox needs the Team plan or higher.
- Use the Microsoft account that owns the mailbox you want in JobsiteOn.
- Work accounts (Microsoft 365): most companies need an IT admin to
approve JobsiteOn once. If you are the admin, you can do it in one step.

- Personal accounts (Outlook.com): no admin step. You approve JobsiteOn
yourself.
Connect your mailbox
- Go to Settings, then Email & Inbox.
- Under Connected Mailbox, find Outlook and click Connect.
- Pick your Microsoft account and sign in.
- Review what JobsiteOn asks for and click Accept.
- You land back in JobsiteOn. The first sync pulls the last 30 days of mail.

Send from your Outlook address
- In Settings, Email & Inbox, go to Send Client Emails From.
- Choose Connected Outlook.
From now on, email you send from JobsiteOn goes out from your Outlook
address. You can switch back to your JobsiteOn address at any time.
- Go to Settings, then Apps, and open Microsoft Outlook.
- Click Connect and sign in with the Microsoft account to use.
- Scheduled jobs appear on the JobsiteOn Jobs calendar in Outlook. If you
drag an event to a new time in Outlook, the job moves too.
- Customers appear in the JobsiteOn contact folder. Edits you make there
come back into JobsiteOn.
Deleting a contact in Outlook never deletes the customer in JobsiteOn. It
only stops syncing that contact until the customer changes in JobsiteOn again.
What JobsiteOn can see
JobsiteOn reads your Inbox and Sent Items, the JobsiteOn Jobs calendar and
the JobsiteOn contact folder. It does
not read your other folders, other calendars' event details or your other
contacts. Tokens are encrypted, and your Microsoft password never reaches
JobsiteOn.
Disconnect
- Go to Settings, Email & Inbox, Connected Mailbox.
- Click Disconnect next to Outlook.
- Leave Also remove the email synced from Outlook off to keep that mail
as customer history, or turn it on to remove it from JobsiteOn.
- Click Disconnect to confirm.
To remove JobsiteOn from your Microsoft account as well, go to
myapps.microsoft.com (work accounts) or
account.live.com/consent/Manage
(personal accounts).
Troubleshooting
"Need admin approval"
Your company requires an admin to approve JobsiteOn. Follow
Approve JobsiteOn as a Microsoft 365 admin,
then connect again.
The mailbox shows "Reconnect needed"
Microsoft ended the sign-in, usually after a password change or because your
company requires you to sign in again. Click Reconnect. Your mail history
stays.
"This Microsoft account has no Exchange Online mailbox"
The account you signed in with has no Outlook mailbox (for example, a
Microsoft 365 account without an email license). Sign in with the account
that owns the mailbox.
