Learn how to convert an accepted quote into a job, what information carries over from the quote, and what steps to take after conversion to get work started.

This guide explains how to convert a quote that has been accepted by your customer into a job in JobsiteOn. You will learn when conversion is appropriate, how to perform it, what data carries over from the quote, and what post-conversion steps to take to prepare the job for scheduling and dispatch.

Before you begin

  • You need a quote in Accepted status. Quotes in Draft, Sent, or Declined status cannot be converted to jobs.
  • Confirm the quote has accurate contact, property, and line item information before converting. It is easier to fix quote details before conversion than to update the job afterward.
  • If you are new to quotes, read Create and Send Quotes first.

When to convert a quote to a job

Convert a quote to a job when:

  • The customer has accepted the quote and confirmed they want to proceed.
  • The scope of work is finalized and reflected in the quote line items.
  • You are ready to schedule and assign the work to your team.

Do not convert a quote if:

  • The customer has requested changes. Update the quote first, resend it, and wait for re-acceptance.
  • The quote is for informational purposes only and the customer has not committed.
  • You need to split the quoted work into multiple separate jobs. Create the jobs manually instead and reference the quote number.

Step 1: Open the accepted quote

  1. Navigate to /quotes and locate the accepted quote.
  2. Click the quote row to open the detail page at /quotes/[slug].
  3. Confirm the status badge shows Accepted.

Verify quote details before converting

Review the following before you proceed:

  • Contact — Is the correct customer linked? Their name and contact details carry over to the job.
  • Property — Is the correct service address linked? The property carries over and determines where the work happens.
  • Line items — Do the line items accurately describe the scope? Line item details carry over to the job description.
  • Totals — Are pricing, tax, and discount calculations correct? These inform the job's financial context.

Making corrections now saves time. Once converted, changes to the quote do not automatically update the job.

Step 2: Convert the quote

  1. On the accepted quote detail page, locate the Convert to Job button in the action area.
  2. Click Convert to Job.
  3. A confirmation dialog appears summarizing what will be created.
  4. Review the summary and click Confirm to proceed.
  5. JobsiteOn creates a new job and links it back to the original quote.
  6. You are redirected to the new job detail page.

What happens during conversion

When you click Confirm, the system:

  1. Creates a new job record in Pending status.
  2. Copies the contact from the quote to the job.
  3. Copies the property from the quote to the job.
  4. Transfers line item information to populate the job scope.
  5. Creates a reference link between the quote and the new job.
  6. Logs the conversion event in both the quote and job activity feeds.

Step 3: Review what carried over

After conversion, review the new job to confirm everything transferred correctly.

Step 4: Complete post-conversion setup

The new job needs a few things before it is ready for dispatch.

Add a job title

The job title may be auto-generated from the quote. Review it and update it to be clear and descriptive for your field team. Example: "Kitchen Remodel — 42 Oak Street" is better than "QTE-1047 Conversion."

Assign team members

  1. In the Assigned Team section, click Add Member.
  2. Select the team members who will perform the work.
  3. Each assigned member receives a notification about the new job.

Add tasks

Convert the quote line items into actionable tasks for your crew:

  1. Review the line items that carried over into the job scope.
  2. In the Tasks section, click Add Task for each step of the work.
  3. Write specific, action-oriented task titles.
  4. Assign individual tasks to team members if needed.

Set priority and due date

  1. Choose the appropriate priority level (Low, Medium, High, or Urgent).
  2. Set a due date based on your scheduling availability and customer expectations.

Schedule the work

Navigate to the Schedule section and create a calendar event linked to the job. The schedule event determines when the crew will be on site.

After conversion, the quote and job are permanently linked:

  • On the job detail page, you see a reference to the original quote with a clickable link.
  • On the quote detail page, you see a reference to the created job with a clickable link.
  • Both activity feeds record the conversion event.

This link ensures traceability from the customer's initial approval all the way through to job completion and invoicing.

Converting quotes with optional line items

If your quote included optional line items (items the customer could choose to include or exclude):

  • Only accepted line items carry over to the job scope.
  • Optional items the customer declined are not included.
  • Review the job scope after conversion to confirm the correct items are present.

Tips

  • Convert promptly after acceptance. The longer you wait between acceptance and conversion, the more likely details will become stale or forgotten.
  • Standardize your post-conversion checklist. Create a consistent set of steps your team follows every time a quote converts to a job. This guide is a good starting point.
  • Use the quote reference for invoicing. When it is time to invoice, the linked quote provides the agreed-upon pricing. Reference it to ensure your invoice matches what the customer approved.
  • Do not edit the original quote after conversion. The quote record should remain as-is to serve as a historical record of what was agreed upon.
  • Communicate the transition to the customer. Send a job confirmation email so the customer knows their quote has moved into active production.

Troubleshooting

The Convert to Job button is not visible

Confirm the quote is in Accepted status. Only accepted quotes show the conversion option. If the quote is still in Sent or Draft status, it cannot be converted.

The job is missing contact or property information

The contact or property may have been removed from the quote before conversion. Open the job and manually link the correct contact and property.

Line items did not carry over correctly

Review both the quote and the job. If line items are missing or incorrect on the job, add or edit them manually. Changes to the quote after conversion do not sync to the job.

I converted the wrong quote

You cannot undo a conversion, but you can update the job details or change its status. If the job was created in error, add a note explaining the situation and contact your admin.

I need to split a quote into multiple jobs

Quote-to-job conversion creates a single job. If the quoted work should be split across multiple jobs, create additional jobs manually and reference the quote number in each job's notes.

FAQ

Can I convert a quote to a job more than once?

Each quote can typically be converted to one job. If you need additional jobs from the same quote, create them manually and link them via notes or references.

Does converting a quote affect the quote status?

The quote remains in Accepted status after conversion. It is not deleted or archived. The quote record serves as a permanent reference.

Can I convert a declined quote?

No. Only quotes in Accepted status can be converted. If a customer changes their mind about a declined quote, update the quote status to Accepted first, then convert.

What happens to the quote if I delete the job?

Jobs cannot be deleted in JobsiteOn. The quote and job remain linked permanently for your records.

Can I convert a quote to a job and an invoice at the same time?

No. Conversion creates a job only. Create the invoice separately when the work is complete or when your billing workflow requires it. The linked quote provides the pricing reference for your invoice.
