Set Default Quantities
How to configure default quantities for pricebook items so they auto-fill when added to quotes and invoices.
What this guide covers
This guide explains how to set default quantities on pricebook items. Default quantities save time by pre-filling the quantity field when an item is added to a quote or invoice.
Setting a default quantity
- Navigate to
/pricebook. - Click the item you want to configure.
- Click Edit.
- Enter a value in the Default Quantity field.
- Click Save.

When to use default quantities
Default quantities are useful when:
- A service is typically performed once (default: 1).
- A part is usually sold in a minimum quantity (e.g., default: 4 for a pack of filters).
- An hourly service commonly takes a set number of hours (e.g., default: 2 for a standard inspection).
How defaults apply
When you add the item to a quote or invoice:
- The quantity field pre-fills with the default value.
- You can change it to any amount before saving.
- The default is a convenience, not a restriction.
Tip: Set the default quantity to the most common amount. This covers the majority of cases and reduces manual adjustments.
Note: If no default quantity is set, the field defaults to 1.
