How to add gate codes, parking instructions, entry details, and other access information that technicians see on the mobile app.

This guide explains how to add access notes to a property record so your field technicians have the information they need before arriving on site.

What access notes include

Access notes capture any information a technician needs to reach the work area:

  • Gate codes and entry codes.
  • Parking instructions and restrictions.
  • Which entrance or door to use.
  • Key lockbox locations and combinations.
  • Pet or safety warnings.

Adding access notes

  1. Open the property at /properties/[slug].
  2. Click Edit Property in the top-right corner.
  3. Enter the details in the Gate Code and Access Notes fields.
  4. Click Save.

Where access notes appear

  • Property detail page -- visible to all workspace members.
  • Job detail page -- shown on any job linked to this property.
  • Mobile app -- technicians see access notes before arriving.

Tip: Keep access notes concise and actionable. Write them as if giving directions to someone who has never visited the property.

Updating access notes

If access details change (new gate code, construction blocking an entrance), update the property record immediately. Technicians always see the latest version.

  1. Open the property and click Edit Property.
  2. Update the fields and click Save.

Note: Changes to access notes apply immediately. Technicians viewing the property on the mobile app will see the updated notes the next time they open the job.
