How to use the invoice aging report to track overdue invoices, understand aging buckets, and prioritize collection efforts.

What this guide covers

This guide explains the invoice aging report, which groups unpaid invoices by how many days they are past due. You will learn how to read the aging buckets, prioritize follow-ups, and reduce your overdue balance.

Before you begin

  • You need Owner, Admin, or Dispatcher permissions to access reports.
  • Invoice aging is calculated based on the due date set on each invoice. Invoices without a due date do not appear in this report.

Understanding aging buckets

The invoice aging report groups unpaid invoices into standard time buckets:

Bucket Description
Current Not yet due
1-30 days 1 to 30 days past the due date
31-60 days 31 to 60 days past due
61-90 days 61 to 90 days past due
90+ days More than 90 days past due

Each bucket shows the number of invoices and the total dollar amount.

Step 1: Open the report

  1. Navigate to /reporting.
  2. Click the Invoices tab.
  3. Select Invoice Aging from the sub-menu.

Step 2: Read the summary

The top of the report shows total outstanding balance and a breakdown by bucket. The stacked bar chart gives you a visual sense of where your receivables sit.

Step 3: Prioritize collections

Focus on the oldest buckets first. Click any aging bucket to filter the table below to only invoices in that range. From the table, click an invoice number to open it and send a payment reminder.

Step 4: Filter by customer

Use the Customer dropdown to see the aging report for a single customer. This is useful before a customer call to understand their full payment history.

Tip: Invoices in the 90+ day bucket are the hardest to collect. Consider offering a payment plan or escalating to your collections process for these.

Best practices

  • Review weekly. Catching invoices early in the 1-30 day bucket is far easier than chasing 90+ day invoices.
  • Send reminders promptly. Use the invoice detail page to send automated payment reminders.
  • Set realistic payment terms. If most invoices age past 30 days, consider shortening your default payment terms in settings.
