How to configure working hours, days off, and custom schedules for individual team members or crews.

This guide explains how to set custom working schedules for individual team members and crews. Custom schedules help dispatchers avoid booking jobs outside a member's available hours.

Default workspace schedule

Every workspace has a default schedule set in /settings > Schedule. This applies to all team members unless overridden with a custom schedule.

Setting a custom schedule for a member

  1. Navigate to /team.
  2. Click the member's row to open their profile.
  3. Click the Schedule tab.
  4. Toggle Use Custom Schedule to on.
  5. Set the working hours for each day of the week:
    • Start time -- when the workday begins.
    • End time -- when the workday ends.
    • Day off -- toggle to mark the day as non-working.
  6. Click Save.

Setting a crew schedule

Crew schedules follow the crew lead's schedule by default. To override:

  1. Open the Crews tab on /team.
  2. Click the crew name.
  3. Click the Schedule tab.
  4. Set custom hours for the crew.
  5. Click Save.

Crew schedules apply when the crew is assigned as a unit. Individual member schedules still apply when members are assigned individually.

How schedules affect dispatch

When you drag a job onto the schedule view:

  • Time slots outside the member's working hours are grayed out.
  • A warning appears if you try to schedule beyond their hours.
  • The schedule view only shows available members during a given time slot.

Tip: Set schedules at the start of each season or when shifts change. Accurate schedules prevent double-booking and help dispatchers make better assignment decisions.

Adding exceptions

For one-time schedule changes (training days, early departure):

  1. Open the member's Schedule tab.
  2. Click Add Exception.
  3. Select the date and set custom hours or mark as a day off.
  4. Click Save.

Exceptions override the regular schedule for that date only.

Note: Schedule changes do not retroactively affect existing job assignments. If a member has jobs booked during newly blocked hours, those jobs need to be manually reassigned.
