How to record certifications and licenses for team members, set expiration reminders, and maintain compliance records.

This guide explains how to track certifications and licenses for your team members. Keeping certification records up to date helps you maintain compliance and avoid sending unqualified technicians to jobs.

Adding a certification

  1. Navigate to /team.
  2. Open the member's profile.
  3. Click the Certifications tab.
  4. Click Add Certification.
  5. Fill in the details:
    • Certification name -- e.g., "EPA 608," "Master Electrician."
    • Issuing body -- the organization that issued it.
    • Issue date -- when it was granted.
    • Expiration date -- when it expires (if applicable).
    • Certificate number -- for reference and verification.
  6. Click Save.

Viewing certifications

Certifications appear on the member's profile under the Certifications tab. Each entry shows:

  • Certification name and issuing body.
  • Status: Active, Expiring Soon, or Expired.
  • Days until expiration (for active certifications).

Expiration reminders

JobsiteOn sends automatic reminders when certifications are approaching expiration:

  • 30 days before -- email to the member and workspace admins.
  • 7 days before -- a second reminder.
  • On expiration -- final notice that the certification has expired.

Tip: Upload a scan of each certificate as an attachment for verification purposes. This saves time if a customer or inspector requests proof of certification.

Editing or removing certifications

  1. Click the certification entry.
  2. Click Edit to update details, or Delete to remove it.
  3. Confirm changes.

Note: Expired certifications are not automatically removed. They remain visible with an Expired badge so you have a complete compliance record.
