This guide walks you through creating an invoice directly from a job in JobsiteOn. You will learn how to trigger the invoice creation, what information carries over from the job, and how to review and send the invoice.

When to create an invoice from a job

Create an invoice from a job when:

  • The work is complete or substantially complete and the customer should be billed.
  • You want the invoice to reference the job for traceability.
  • The contact and property details should automatically populate the invoice.

Step-by-step process

1. Open the job

Navigate to the job detail page at /jobs/[slug]. The job can be in any status, but most commonly you will invoice after the job is marked Completed.

2. Create the invoice

  1. Click Create Invoice in the action bar at the top of the job detail page.
  2. A new invoice form opens with the following fields pre-filled:
    • Contact — Carried over from the job.
    • Property — Carried over from the job.
    • Job reference — A link back to the originating job.
  3. The line items section is empty. Add the billable items manually or from your pricebook.

3. Add line items

  1. Click Add from Pricebook to select standard services and parts.
  2. Or click Add Line Item to enter custom charges.
  3. Set quantities and prices for each item.
  4. Review the subtotal, tax, and total at the bottom.

Tip: If the job was created from a quote, reference the original quote line items to ensure the invoice matches what was agreed upon.

4. Set payment terms

  1. Set the due date based on your standard payment terms (Net 15, Net 30, etc.).
  2. Add any notes about payment instructions or references.

5. Save and review

  1. Click Save to save the invoice as a draft.
  2. Review the embedded PDF preview for accuracy.
  3. Verify the contact, property, line items, and totals are correct.

6. Send the invoice

  1. Click Send on the invoice detail page.
  2. Confirm the recipient email.
  3. Choose send options (attach PDF, Bcc, SMS notification).
  4. Click Send to deliver.

After creating the invoice:

  • The job detail page shows a link to the invoice in the billing section.
  • The invoice detail page shows a link back to the originating job.
  • This bidirectional link provides full traceability from work to billing.

Note: You can create multiple invoices from a single job if the work is billed in phases, such as a deposit invoice and a final invoice.

What does not carry over

The invoice does not automatically include line items from the job. You add line items during invoice creation to ensure the billing matches the actual work performed, which may differ from the original scope.

Best practices

  • Invoice within 24 hours of job completion for faster payment.
  • Reference the job number in the invoice notes so the customer can connect the bill to the work.
  • Review job costs before invoicing to ensure you are billing enough to cover expenses and maintain margins.
  • Use the job-invoice link during reconciliation to verify that all completed work has been billed.
